PT provides social, technical and legal expertise at local community, national and international levels to ensure that urban growth and urbanism adhere to social justice principles and that and international human rights standards are implemented in favour of the most vulnerable of urban citizens.Pamoja Trust seeks to employ an officer in charge of Human Resource and Administration under the Terms of Reference described below:

Technical Terms of Reference

As the Officer – Human Resource & Administration, you shall be responsible to manage administration and logistics activities of Pamoja Trust. You shall also takes responsibility to conduct tasks related to human resource and work closely with other staff to support operation functions of the office to ensure the Organizations runs smoothly and effectively.

Key tasks:

Administrative tasks:

  • Be responsible for incoming and outgoing telephone calls and emails
  • Handle office petty cash under the approval of the finance manager
  • Manage office equipment and infrastructure to ensure a well-running office
  • Responsible for the overall running of the reception operation
  • Make logistic arrangement including flights reservations, hotel and vehicle arrangement for project staffs, visitors/partners, donors, consultants, volunteers and interns
  • Coordinate with procurement Committee to ensure timely acquisition of stationery for staff and meetings/workshops and timely repair and maintenance of assets Prepare correspondence, memos, reports, presentations, and emails to local counterparts, donors or other related offices or agencies in relation to the office operations
  • Update the filling system and manage filing the office documents for both hard and electronic copies.

Human Resource tasks

  • Recommend and execute annual staff development plan for entire team
  • Recommend and execute policies, procedures, rules, regulations for employees in compliance with Kenyan Labour Law
  • Review and update all human resources policies to meet the organization’s needs
  • Plan and facilitating HR activities for the team: contract, recruitment, employee relation
  • Ensure to develop job descriptions for current/new positions
  • Maintain current organizational chart and current staff contact list
  • Assist the progress of job planning and performance management in liaison with the respective managers.
  • Provide coaching and training to direct staffs on HR & Admin functions
  • Monitor and record employee time sheets and leave requests


  • University degree in administration, human resource management or other relevant disciplines or an equivalent.
  • Fluency in English and Kiswahili (both oral and written)
  • At least 2 year experience working as an HR and administrative officer for a National Organization.
  • Skillful in interpersonal skills, Team work, time management, communication, and problem solving skills
  • Very good computer skills especially word, excel and internet.
  • Able to work under pressure and deadline
  • Be willing to occasionally travel for work, as required.

Remuneration: package will be negotiated with the successful candidate.
